Terms of Service

The service

Season Manager helps volunteer managers of youth sports teams run a season: schedules and attendance, fee tracking, messaging between managers and families, and help finding accommodation for tournaments. Parts of the service are assisted by AI, including replies to messages you send and, where a manager asks for it, automated telephone enquiries to hotels.

Accounts

You need an account to use the portal. Keep your password confidential and tell us if you believe someone else has access to it. You are responsible for what happens under your account. Accounts are for adults — parents, guardians, managers and coaches.

Text messaging program

If you provide a mobile number and agree to receive text messages, you consent to receive automated text messages from Season Manager about your team, sent from +19842610644.

• What you’ll receive: schedule changes, requests to confirm attendance, fee reminders, messages from your team manager, and replies to messages you send us.
• Frequency: up to 8 messages per month. Messages you send the assistant are answered as you send them.
• Cost: message and data rates may apply, depending on your mobile plan. We do not charge for the messages themselves.
• Opting out: reply STOP to any message to stop them. Reply HELP for help, or contact [email protected].
• Consent is not a condition of using Season Manager, or of any purchase. You can use the service with an email address only.

Carriers are not liable for delayed or undelivered messages. Tell us if your mobile number changes, so messages meant for you do not reach someone else.

Automated calls to hotels

When a team manager asks Season Managerto find accommodation, an AI voice assistant may telephone hotels on the team’s behalf to ask about availability, group rates and a courtesy hold. The assistant identifies itself as an AI assistant at the start of every call and never provides payment details. Any hold it obtains is a request only; it is not a booking, and rates and availability are confirmed by the hotel, not by us.

Fees and payments

Team fees shown in Season Manager are set and collected by your team, not by us. Balances and payment records in the portal are a bookkeeping record of what your team manager has entered. Any dispute about an amount owed is between you and your team.

Acceptable use

Do not use Season Managerto send unlawful, abusive or harassing messages, to contact people who have not agreed to hear from you, or to attempt to access another family’s or team’s information. Managers are responsible for having a legitimate relationship with the families on their roster.

Availability and disclaimers

The service is provided as-is. We do not warrant that it will be uninterrupted or error-free, that a message or call will always be delivered, or that information supplied by a hotel or an AI assistant is accurate. Do not rely on Season Manager as the only channel for time-critical or safety-related communication.

Limitation of liability

To the extent permitted by law, Palmer Ventures LLC is not liable for indirect, incidental or consequential damages, or for lost data, arising from your use of the service.

Changes and termination

We may change these terms; material changes will be reflected in the date at the top of this page. You may stop using the service at any time, and you can ask us to close your account by contacting [email protected].
