Privacy Policy

Information we collect

• Account information — your name, mobile phone number, email address and a password you choose.
• Team and player information — player names, jersey numbers, optional player photos, team schedules, attendance responses and fee balances. This is entered by a team manager or by a parent or guardian.
• Messages — text messages you send to and receive from the service, including requests you make of the assistant, so we can answer them and keep a record for the team.
• Travel information — when a manager asks us to find accommodation, the tournament dates and room counts needed to make those enquiries.

Mobile information is never shared or sold

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party or affiliate. Your mobile number is used only to deliver the messages described below, and is shared only with the telecommunications provider that delivers them on our behalf.

Text messages

If you provide a mobile number and agree to receive text messages, Season Manager sends messages about your team: schedule changes, requests to confirm attendance, fee reminders, messages from your team manager, and replies to questions you text us.

Message frequency: you will receive up to 8 messages per month. Messages you send to the assistant are answered as you send them, so your own activity may increase this.

Message and data rates may apply. Reply HELP for help or STOP to cancel at any time. Consent to receive text messages is not a condition of using Season Manager; you can use the service with an email address only.

How we use information

• To operate the team portal and deliver the messages you asked for.
• To answer requests you make of the assistant.
• To contact hotels on a team’s behalf when a manager asks us to find accommodation for a tournament.
• To keep the service secure and to diagnose faults.

We do not sell personal information, and we do not use it for advertising or to build profiles for third parties.

Service providers

We share information with a small number of providers strictly to run the service: a telecommunications provider to deliver text messages and place calls, an AI provider to process assistant requests, a mapping provider to find nearby hotels, and our hosting and database provider. They may process the information only on our instructions.

Children’s information

Season Manageris used by adults — team managers, coaches, and parents or guardians — on behalf of teams that include children. Player details such as a name, jersey number and optional photo are entered by an adult. Accounts are not offered to children, and we do not knowingly collect information directly from a child. A parent, guardian or team manager may ask us to remove a player’s details at any time using the contact address below.

Retention and your choices

We keep information for as long as your team uses the service. You can stop text messages at any time by replying STOP. You can ask us to correct or delete your information, or to send you a copy of it, by contacting [email protected]. Removing a player from a team removes their attendance history and family links.

Security

Passwords are stored hashed, never in plain text. Access to team data is limited by role: parents and guardians see only their own family’s contact details and balances, while managers see their own team. No system is perfectly secure, and we cannot guarantee absolute security.

Changes

If this policy changes materially we will update the date at the top of this page and, where the change affects the text messaging program, notify you.
